<p>Board of Directors in attendance: Spencer Ericksen, Justin Thomas, Randy Reigel, Pete Rissler, Shawn Pearson, Bill Cline</p>

<p>Next Club Meeting:  3/2/09, Walden&#8217;s Coffee, 6:00 p.m.</p>
<p>Website Redesign:  Paypal setup is progressing &#8212; figuring out payment processing and integrating it into new website.  Lots of discussion about hosting the site with globat (current host) versus Vista (new website designer).  Matt will publish the new site for BOD review before it goes live.  More discussion/design direction to happen among the website committee.  Pushing to get online membership applications/renewals up and running first.</p>
<p>Treasurer&#8217;s Report:  Checking account balance $3401, Money Market balance $25,003.  $735 interest earned on MM in 2008.  Sponsor checks received from SSSP, PTP, and Dickson.  Some paper membership renewals rolling in, processing normally until online membership is up and running.  No Ritchey sponsorship this year.  Race reimbursement for Darin Olde approved (not included in last meeting&#8217;s action).</p>
<p>Club Shed:  Randy has found a new shed at Secure Self Store on the corner of Peckham and Neil.  A 5&#215;10 unit is $55/month.  The BOD approved moving to this shed, with the goal of completing the move by March 1 (when our rent at the current shed runs out).</p>
<p>TeamRW:  We need a new &#8220;den mother&#8221; to do basic coordination of the team members and set up an online race spreadsheet for members to note their targeted races.  Shawn will send out an email looking for a new volunteer.</p>
<p>Race Reimbursement Policy:  For 2009, all reimbursable races will be paid at the $30 level (no more distinction for race category).  Reimbursable races are all Norba or USCF sanctioned events not hosted by RW, plus up to two touring events (centuries).  The total number of races a member can request reimbursement for will depend on the level of service provided to the club.  For 1-5 races, the member must volunteer at 1 club event.  For 6-10 races, the member must volunteer at 2 club events.  For >10 events, the member must volunteer at 3 club events.  Club volunteer events for this purpose are the District TT, Peavine Challenge, any Hill Climb TT event, and any CX race.  Volunteering at 2 Twilight races (road or MTB)  will count for 1 event.  Serving on the club Board of Directors will also satisfy the volunteer requirement.  The full updated 2009 reimbursement policy will be posted soon.</p>
<p>Jamba Juice:  Has offered to sell their smoothies at our club races (Peavine Challenge) and donate a share of their profits to the club.  The Board okayed this as long as JJ pays all the necessary fees and doesn&#8217;t step on any toes with existing concessionaires or trigger additional permit requirements for us.</p>
<p>Road Twilight Races:  Rich is working permits.  The schedule is complete and ready for release.</p>
<p>Club Shops:  For 2009, we will no longer be selling race tickets at local bike shops.  Tickets will be sold at the races only, for $8 each for club members and $10 each for non-members.  In addition, anyone participating in the Twilight Road series will have to fill out a waiver form and receive a race license/number for the season at their first event.  The license will be free for club members, or $20 for non-members.</p>
<p>District TT:  The BOD approved paying a promoter fee of $3 per rider for this race, to compensate for time and resources spent planning and running the race.  The entry fee will be increased to $25 to cover this new expense.</p>
<p>Skills Clinic:  Given the current club workload, we are taking a pass on organizing a formal skills clinic this year.  The Procrastinating Pedalers do a great job of new racer training with their Wednesday night training rides/criteriums, and we will continue to encourage new riders to attend these.  We may also look at doing an informal clinic, with no registration fee and insurance through the League of American Bicyclists instead of USA Cycling.</p>
<p>Downtown Reno Race &#8212; Spencer will email Amendment 21 to see if they are still interested in promoting this race.  Tentative race date is August 22.</p>
<p>Twilight Thoughts &#8212; Dan Brown had some ideas on improving the Twilight Series, with more focus on racer development and less on overall series prizes.  The idea is that the Twilights should be an opportunity for racers to experiment with tactics, strategy, and techniques, without undue concern about overall placing.  More discussion to follow.</p>

<p>Treasurer&#8217;s Report:  Checking account balance $7565, Money Market balance $24,901.  Microsoft in-kind donation, $272, received 11/17/08.  CX series projected to make about $1000.</p>
<p>Sagebrush CX:  Paperwork for #1 and #3 submitted.  Need to track down #2 (Alta Alpina) and ensure it is submitted.  USA Cycling is holding our club renewal for 2009 until these get resolved.</p>
<p>Website Redesign:  Spencer will email Matt M. the RW IRS tax exempt letter (to set up non-profit Paypal account).  Matt presented two examples of templates.  Board liked the cleaner one, but requested that our sponsor logos be more tightly integrated (i.e. have the RW and SSSP logos on a banner that displays on every page).  Matt will get SSSP logos from Andy, Dickson and PTP logos from Jenny.  Goal is to have online membership up and running by Feb. 1.</p>
<p>2008 Reimbursement requests:  Board approved 13 requests, for a total of $3990.</p>
<p>2009 Reimbursement policy: Tabeled until next meeting.</p>
<p>2009 Twilight Road:  Rich handed out tentative schedule.  Board requested a TTT be added, otherwise looked good.  Draft race flier reviewed.</p>
<p>2009 Nevada Cup:  Pete trying to get applications together by Feb. 1.  Rainbow Ridge is questionable this year due to lack of sponsors.  Pinenut Cracker date has not been set.  Scot Ferguson will be promoter for Peavine Challenge, and maybe Sky Tavern.  USA Cycling fee is increased to $3 per rider per race this year.</p>
<p>2009 Twilight MTB:  All races will be at Peavine this year.  No Riverbanks due to parking issues and low turnout.  No Hidden Valley due to exorbitant usage fee charged by Washoe County Parks.</p>
<p>Virginia City MTB Race:  Pete giving guidance to VC tourism board on hosting a race in June.</p>
<p>Hill Climb TT Series:  Series re-arranged and restructured for this year.  Draft race flier reviewed.</p>
<p>Downtown Reno Race:  Unknown status, Spencer will check with Amendment 21.</p>
<p>SYCL:  Pete considering cancelling this for 2009, due to lack of interest and lack of promoter help.  Will decide by next meeting.</p>
<p>TeamRW:  Tabeled until next meeting.</p>
<p>Fallon Road Race, 2010:  a possibility that was broght up</p>
<p>Club Shed:  Randy checking out new club shed possibilities.  Board approved up to $55/month, as long as new shed is convenient, safe, and clean (no more pigeon poop).</p>
